The organization of this conference is handled by the group/experiment secretariats (PH secretariat for PH-ESE) which will send to PH-EP secretariat all the necessary information, bills and authorizations. PH-EP secretariat proceeds to all payments/reimbursements, including fees and travel expenses.

Exception : Users paid on T-accounts, and participants combining other official trips together with this one are taking care of entirely by their group/experiment secretariat.

Participation guidelines:

Early registration fees PH internal deadline: 22 July

Daily subsistence allowance : 217 CHF

Subsistence:

The subsistence allowance will be applied from 28th September to 2nd October at the maximum, less one meal (banquet included in the fee.

Travel:

As soon as the participation to the conference is confirmed, flight will have to be booked by the group/experiment secretariat (PH secretariat for PH-ESE participants) or by the participant, knowing that more expensive costs generated by either other dates or late booking will be deducted from the daily allowance.
PH organizes the transportation to and from Geneva airport. Participants are kindly requested to announce to PH secretariat their participation to this organized bus at the beginning of September at the latest. Other means of transportation will not be reimbursed except for those who, for professional reasons, couldn’t take the flights on Monday and Friday.

Registration:

Early registration confirmation with travel authorization should reach PH-EP secretariat at the latest on 22nd July in order to benefit of early rate paid by CERN. The difference between early rate and full rate will have to be deducted from subsistence for those already registered who didn't take action in due time.
