The organization of this conference is handled by the group/experiment secretariats which will send to PH-EP secretariat all necessary information to ensure all payments/reimbursements, including fees and flights documentation.

Registration
CHEP organization insists to get the fee payment within the 7 days following your registration. If you want to to benefit of the bulk payments organized by PH secretariat, please chose the bank transfer payment method and send your registration confirmation together with your official travel form to your group/experiment secretariat. The registration fee includes the banquet which will be deducted from the daily allowance.
Important information about daily subsistence allowance decided by PH Department Head
Travellers attending the conference are going to be reimbursed from Saturday 19th May until Friday 25th as the conference is ending early afternoon. Those attending the WLCG will be reimbursed one day before and one day after since the workshop ends Friday evening.
One offered meal will be subtracted for the full week stay.
Dormitory
The deadline to reserve a NYU dorm has been extended to March 26. Note that dorm rooms are available ONLY from 20th to 26th May.
Unclaimed rooms will be released by that date to avoid further liability.
The conference registration form doesn’t allow the splitting of fee and dormitory payments. However PH will not pay this dormitory fee in advance since the form indicates that ” registration and payment does not garantee a room in the dormitory for the applicant(…)”. Hence it is advised for those interested to pay the full registration with their own credit card. They will be reimbursed on their return.
There is also a possibility to have the fee paid by CERN and the dormitory paid directly with the participant’s credit card by calling the responsible person at the dormitory and giving her the card details by phone. Those interested should contact PH secretariat before sending the form.
Transportation
Because the month of May is a peak period in New York, flights should be booked as far in advance as possible. Contact your group/experiment secretariat to organize your trip including your visa if required.
Confirmed conference attendees that require a letter of invitation in connection with a US visa application are urged to request the letter as soon as possible to avoid visa delays. Please contact chep2012@bnl.gov to request a letter.
